Tables hold 8 people. Allocation to be random (except for LOC?)

Quiz Prizes:

Order of events:

  1. Robin Hood Hat Making 7.00
  2. Mains 7.30
  3. Quiz Rounds 1-2-3 8.00
  4. Dessert 8.30
  5. Quiz Rounds 4-5
  6. Collect papers and mark while... people have coffee and... 9.00
  7. Mike Parker Speech 
  8. Present prizes

Requirements per table:
  1. I/2 pairs scissors or stapler on each table for hat making- Addy to decide on which origami hat is best
  2. 1 answer sheet for the quiz
  3. 1 pen
  4. 1 set of questions with no anwsers 

Requirements for Mike Parker:
  1. PA and lectern
  2. Quiz Questions

Volunteer requirements:
  1. Deploying quiz sheets, pens, scissors etc beforehand
  2. Checking people in and explaining table allocation
  3. Deploying question sheets as appropriate
  4. Collecting quiz sheets
  5. Marking quiz

Still to do:
  1. Decide on hat-making technique and method for explaining how to do it
  2. Decide on table allocation (requires list of names)
  3. Let EMCC know where veggies are sitting
  4. Decide on, and purchase,  third prize
  5. Decide how many volunteers we need
  6. Liaise with EMCC about timing of courses and entertainments? (check with Claire)

OK, outcomes from my meeting with Shelley:

  • We've only booked a two-course buffet not three
  • What time is Mike Parker on?  Does he just need a lectern on a small stage, PA & mic?
  • Assuming for now main course served ~7:30, then a half hour gap to eat & do a phase of quiz, then desserts about 8:30, tea&coffee served at tables. Mike about 9?  If any variation, please let me know asap to pass on to Shelley for the catering timing.
  • Shelley will print drinks vouchers and give to us on Monday - saves us a job but might be worth someone sending a JPEG of the conference logo to her.

Thanks Jeremy, I'll adjust this to just go for 2 courses, otherwise the timing seems fine to me. Is it buffet though- I thought we'd gone for sit-down meal?

Addy- can you confirm whether Mike needs a projector and laptop or if he can manage without?

He has his own laptop.  Not sure how much visual he has, the talks that i have seen he likes to show a fe map curiosities to illustrate points.  I am bringing a portable projector anyway.

It's in the lecture theatre/auditorium. There will be a projector and screen, it's just letting De Vere know we'll want them for the event so they set it up right to be able to access the VGA, have the screen visible & not covered by drapes, etc.

And, yes, a buffet is what's on the order list, but people seated at tables.  Now is the last moment really to change that... I assume the cost is more.  Let me know asap if we want to change that order. I think we have till Thurs am for big changes like that.

I'm pretty sure that we agreed a sit-down meal for this? Similar to what the AGI tend to have at their Icebreaker. That's what I remember from the F2F we had a couple of months ago, and what I presumed from the vegetarian menu option that was passed around a few weeks ago. Can someone else confirm my memory here?

Can we confirm this asap? The minutes from the F2F in July say "Same style as AGI Ice-breaker, max cost £22 per person, menu to be resolved nearer the time".

Yes, I'll be calling Shelley shortly. According to Steven we have £28 budget now with drinks. The buffet cost is £23/head.  There will be tables of 8, etc., it's not a stand-up buffet, just not served at the tables.  But I'll ring Shelley about this as well as a number of other details.

Butternut Squash & Sage Risotto with Shaved Parmesan
Pesto & Tomato Tart with Rocket Salad

Main Course
Lamb with Boulangere Potatoes & Crushed Peas
Roasted Pork Loin  with  Mash & Creamed Peas & Apple Gravy
Salmon Fillet with Potato & Spinach Chowder
Red Onion Tart Tatin topped with Whipped Goats Cheese & wilted Rocket (V)
Vegetable Tagine with Lemon & Parsley Quinoa (V)

Desserts
Lemon Tart with Raspberry Sorbet
Sticky Toffee Pudding with Toffee Sauce

From the above could you please choose 1 starter, 1 main plus 1 vegetarian option and 1 dessert.  This 3 course menu can be provided at £28.00 plus VAT to include 2 drinks as per the previous Icebreaker menu.

Could you please advise menu choice today.

My choices would be (in part trying to avoid the food elements like pork & goats cheese that more people will object to having):

  • Risoto  (especially if the parmesan can be somehow optional for those that aren't into it)

  • Lamb
  • Vege tagine

  • Plum crumble
