Is there no way that we can get a webcam (or facetime?) setup between these two rooms? A feed from the web cam to a big screen must be possible?
£3K is an incredible fee.

I think that doing this properly is expensive and we are locked into integrating with the sound and video tech available in the main auditorium.

I am not sure that the opening plenary goes on for long enough to justify. I know two way would be nice but I don't think we can justify the cost unless our numbers soar in the next couple of weeks. 

Bear in mind that at the moment we are at 645 including all of the sponsors, bursaries, comps and AGI staff. Inevitably quite a few will not come into the plenaries (particularly after the opening). 

Agreed, if you divide the cost between the number of delegates who would benefit, it comes to a pretty hefty sum. I'm for 'winging it' with something functional but adequate.

Any more thoughts team?

Additional - we will need a projector and screen in the geocamp, for the nerds and also for any ad-hoc presentations that might happen.

possibly the back of the tent will do as a screen? but if we can get a standup-one or can mount one on the tent structure to pull down that will have to be.

i can probably bring a projector - we've got a few spare - but if nottingham ppl can source one then job done.

Continuing Barry's thought - we need an AV setup in the hackathon for the
intros and also presentations at the end. This may already have been
arranged...

But I think this question relates only to the Conference Theatre to
Banqueting Suite link? In which case I agree with Steven's thoughts that
it should just be a one way link to save on the huge bill. Perhaps we
could take questions from the banqueting suite via skype?!

I am going to go with the one way link unless anyone shouts loudly before tomorrow morning

I will order a projector and a screen for the GeoCamp, we all ready have a PA ordered or about to be ordered from Field and Lawn by Jeremy
