Workshop delegate numbers

Claire and Barry,

I'm looking into whether we can accommodate some additional workshop delegates but I've got a bit of a discrepancy which I'm hoping between us we can sort out.

I've been working out overall capacity based on the two numbers in the Running total document (https://basecamp.com/1920286/projects/762306-foss4g-13/documents/2312091-running-total-of) which I assume is updated from the RegOnline system. This document shows 257 delegates made up of 166 "8 hour delegates" + 91 "16 hour delegates".

However I've just checked the list of Workshoppers on the website which I believe lists all delegates signed up for workshops and it only has 165 delegates.

Is it possible that we've got 92 delegates that have not yet been given access to the website?

Yes, I think we're clear now. I've updated the running total doc to ensure I don't get tripped up again :-)

I have some slightly different figures coming out of regonline but Claire needs to clarify where her numbers come from

Tonight Regonline says 121 for "8 hours of workshops" and 112 for "8 more hours of workshops" = 1864 hours booked?

I have double checked my registration list against regonline and we have some extras that booked by email.

We have had a couple of extras through now.

The total is:
79 for 8 hours only
92 for the full 16 hours
(171 workshop attendees)

All these extras are getting very fiddly to work with - people aren't sure how to register, claire has been offline, I took the spaces-availible text off the web so people don't know what's availible etc etc. I've just reserved a space for someone on W9 under a fake name because he specifically said he wanted to register for that and its almost full and he says he has already emailed Claire. I'll swap it to his real name if he pays up/gets invoiced by Tuesday or so.

When can we really slam the door on this so I can get other things done?

I think this may have been an error of over eagerness. Admin is too complicated with Claire OoO

Would suggest shutting down Tuesaday or Wednesday night. Thereafter mail back "sorry all gone"

Barry, is this something I can do? I'd be happy to handle ensuring delegates that sign-up for workshops have an account on the website and are sent their details.

I was under the impression that there where only 3 special cases (2 from NZ and 1 from BR) where there more last week?

Possibly! It needs root access on the web server because the spreadsheet import code uses django libs to talk to the database directly. You could add them manually from the django admin but I've been trying to keep it in sync with Claire's spreadsheet...

But given that we are going to have to commit to buying workshop wristbands soon we will have to stop new workshop bookings for logistic reasons.
