Selecting a date for Paper Selection F2F

Posted by Steven Feldman on January 25, 2013

At today's team call we talked about preferences for the dates to meet to select the papers and design the program. The overwhelming preference of those on the call (though that was a smallish group) was for selection to be during the working week rather than at the weekend.

AGI have already scheduled 25th and 26th of April, I am proposing that we meet 24th and 25th (I know there is an overlap for Jeremy and Claire but I understand that they can work with this).

So can you confirm for 24th and 25th April in Nottingham, starting as early in the morning of 24th as you can manage. FOSS4G will pay you hotel bill for the night of the 24th, hopefully your employes will pay your travel cost but if they won't/can't then mail me and I will try (emphasise try) to cover.

Barend Köbben on January 27, 2013:

Hi Steven,
Just got a 300 euro budget from my boss for 2x travel to Nottingham. As last time I managed to fly + train for 140, that should probably cover my travel costs...
So I'm good for the F2F, preferably on weekdays...

Steven Feldman on January 28, 2013:

That's great Barend and please thank your boss from me

Look forward to having you at the F2F and of course the conference

Antony Scott on January 28, 2013:

I am ok for those dates too.

Barry Rowlingson on January 29, 2013:

Apr 24/25 good for me too.

Suchith Anand on January 29, 2013:

April 24th and 25th is ok for me.

Franz-Josef Behr on January 29, 2013:

I will ask for permission and funding.

Mark Iliffe on January 30, 2013:

I will also be at the AGI, however those dates work for me.

Steven Feldman on January 30, 2013:

Given that people need to make plans I am now confirming that we will go ahead with paper selection on 24th and 25th. Please put in your diary and if you haven't please confirm for accomodation bookings.

I will ask the programme team to work on timings, agenda etc beforehand

Claire is going to reserve some rooms for us and hopefully we will stay at the on site hotel for the night. Just need to check on costs and options

Cheers

Steven

Jo Cook on January 31, 2013:

Just confirming that the 24th/25th is good for me

Jo

Rollo Home on February 1, 2013:

Steven. I am in Brussels that week. Whatever I can do ahead of that, let me know.

Claire Gilmour on February 1, 2013:

All -

Please can you let me know if you:
1) are attending the meeting on the 24th and 25th April
2) if you need a hotel room on the 24th

Thanks
Claire

Barend Köbben on February 1, 2013:

Hi Claire,
as stated before, I will attend, and would appreciate a room...
Barend Köbben

Barry Rowlingson on February 1, 2013:

If we are starting early on the 24th then I'll need two nights hotel, I don't really fancy getting the 0535 from Lancaster (arrives nottingham 0905) - I'd rather pay for the extra night myself than crawl out of bed at that time.

Although it would be helpful if you let me know the cost first (maybe I'll find somewhere cheaper!)

Barry

Jo Cook on February 1, 2013:

Same as Barry. To be honest I'd prefer a later start than having to travel over the previous day but I'll go with the majority.

So... will definitely be attending both days, will need a room for the 24th and possibly one for the night of the 23rd too, depending on what time you want to start.

Jo

Antony Scott on February 2, 2013:

Claire

Yes on both counts.

Thanks
Antony

Steven Feldman on February 2, 2013:

Yes to both days and an overnight.

Barry Jo, what time is comfortable for a start for you two?

Ian Edwards on February 2, 2013:

If I'm able to make it then I'm sure we'll pay the hotel cost - could you let me know the price?  I'd also be looking at two nights from Exeter.

Barry Rowlingson on February 3, 2013:

I'm happy to stay the extra night before the meeting and do a 9.00 start. Leaving Lancaster for an 11:00 start would mean a train before 7.30... What's Addy doing, doesn't he have the longest journey?

Jo Cook on February 4, 2013:

11.30 is comfortably doable from Lancaster, and if that gives us enough time to get everything done. That would be my preference.

Jo

Antony Scott on February 4, 2013:

+1 from Bristol...

Franz-Josef Behr on February 4, 2013:

When will we finish approximately our meeting?

Steven Feldman on February 4, 2013:

It appears that stated preferences are for an 11.30 start on the Wednesday to allow people to travel early that morning.

If we start latish on Wednesday then I would suggest that we plan for a 5pm finish on the Thursday

Steven Feldman on February 4, 2013:

and I dis note that Barry is up for staying the night beforehand but he is currently in a minority

Barend Köbben on February 4, 2013:

works for me...

Franz-Josef Behr on February 4, 2013:

I am afraid I will have to arrive on the evening before (10 hours by
train, 6 hours by flight / bus).

Claire Gilmour on February 5, 2013:

Anyone else attending who needs a hotel room?

Ian Edwards on February 6, 2013:

Hi Claire - apologies for the delay - please book me a room for 1 night

Claire Gilmour on February 6, 2013:

Barry and Jo - do you still need the hotel room on the 23rd as well?

Barry Rowlingson on February 6, 2013:

No, Steven has put the start time back so it is doable by train.

For me, one night hotel for the 24th please.

[Can't speak for Jo on this, she may have other plans]

Franz-Josef Behr on February 7, 2013:

Claire,

I plan to arrive on the evening before our F2F meeting, i.e. I need a room for 2 nights.

Thanks, Franz-Josef

Matt Walker on February 8, 2013:

Hi Claire,

Just to confirm that like Rollo I'll also not be attending the face to face.

Cheers,

Matt.

Claire Gilmour on April 15, 2013:

I have booked hotel rooms for Barry, Jo, Ian, Barend, Antony, Steven and Addy.  Who else is attending the meeting?  I need numbers for catering.

Thanks
Claire

Jeremy Morley on April 15, 2013:

I'll be at the meeting

Suchith Anand on April 15, 2013:

I will be attending the meeting.

Franz-Josef Behr on April 16, 2013:

I need a (double) room from 24th - 25th. Claire, you mentioned before that you already made the reservation (from 23th - 25th)? If yes, could you contact the hotel to assure that the romm will be occupied at 24th morning?

Claire Gilmour on April 17, 2013:

Franz-Josef - you will be able to check-in anytime on the 24th.

Franz-Josef Behr on April 17, 2013:

Thank you, Claire!
Is there already an announcement  WHERE we will meet?

Claire Gilmour on April 18, 2013:

We're in the Sir Colin Campbell Building. Room B01 on Wednesday then room

B03 on Thursday and Friday (there are two halves to B03, we're in both on Thursday and one half on Friday).

I've attached a location map. The Sir Colin Campbell Building is number 12 (the building that bridges Triumph Road). The best postcode for sat nav is NG7 2TU. There's visitor parking on the other side of the road from the building reception which is pay-and-display. If that's full, then there's another car park a little further down Triumph Road (next to the building marked 14 on the map).

Jeremy Morley on April 19, 2013:

Please note that I've altered the room booking slightly. We're in room B01 on both Wednesday and Thursday (the GeoCom paper selection will happen next door on Thursday and Friday in room B02). Same building (the Sir Colin Campbell Building). This is the building that bridges Triumph Road - very obvious when you get here.

As I said on the call, note that this building (as the map shows) is on our Jubilee Campus, next to the Nottingham Geospatial Building, and -not- on the University Park campus where the EMCC is located. They're only a mile apart if we need to visit.

Regards,
Jeremy

Jeremy Morley on April 19, 2013:

If you're coming in to Nottingham by train, you can get a cab from the station(!)

Alternatively, it's a short walk from the station to the Broadmarsh bus station or Colin Street. There are a number of buses you can get - simplest is probably the 34. The bus runs along Derby Road - get off at the stop just after the junction with Triumph Road and walk up (5 mins) to the SCCB.

More on the 34 bus route here (including a Google Map): http://www.nctx.co.uk/Buses/34/

Quick point: will we all have wifi or wired network access in the room? Not everyone has eduroam.

Steven Feldman on April 23, 2013:

We normally do have some connectivity in those rooms but I will have my mifi and can share if needed

Jeremy Morley on April 23, 2013:

Yes, we should have guest wifi access (all being well!!)
