Late submissions allowed?

How do we respond?


Dear FOSS4G team,

I completly had the wrong date in mind for the presentations submission deadline, and while preparing the submission I was struck today that the page for submission had changed...  I'd like to know whether you would accept a late submission for a presentation?

Not convinced – we were pretty clear about the deadline from early on, and Paul would need to do a manual update of the voting. So I’m a no.

I have three different reflections: firstly, I do somewhat believe that a deadline's a deadline (which may surprise a few people I work with) . On the other hand generally there is a peaky distribution of submission times around a conference deadline & I'd usually be lenient for a couple of days after. However the killer is the point that the community voting is already open, on a tight deadline, and so I don't think it's fair to add this presentation (not just because of the manual update but also because people have begun voting already).

We can't add it to the voting, but we could consider it but with an effective community voting score of zero, as a late-post punishment. Who knows, it might nicely fill a slot to complete a session.

I like that idea. Let's keep it to one side in case we need to fill a slot, but not add it to the voting. That's a constructive way of dealing with the problem rather than a straight refusal.

I like Barrys suggestion. The message would need to be handled with care (I'd not want anyone thinking that they could circumnavigate the community vote - I note that the Diamond sponsors even submitted presentations which is great).

I will respond to Michael with a 'please submit and we'll hold on to it as a back-up' email.

Can I bit a little lazy in playing catch-up? Do we know exactly how we're going to rank papers and arrange sessions at the meeting next week? Are we meant to have read through some/all of the submissions beforehand?

I was wondering whether we should have a Programme Committee telecon this week for this, but perhaps it's all been decided already?  I don't want to get to the meeting and spend the first two hours working out what we're doing.
